E-File and electronic correspondence

Most E-File software packages can transmit correspondence electronically. Here we look at how you can use this service and its benefits.

How do you use E-File for electronic correspondence?

You can transmit E-File correspondence:

  • on its own, or
  • attached to a client's tax return.

Attach correspondence if it relates directly to the client's income tax return, for example, the transfer of a refund. This method will stop the release of the notice of assessment until after we have actioned the correspondence.

As with tax returns, you need to complete a number of mandatory fields before we can process your correspondence. These fields include:

  • the client's IRD and location numbers
  • the date of the letter
  • the tax type
  • the E-File destination code

What are the benefits of electronic correspondence?

If you use E-File for sending correspondence:

  • we receive your correspondence faster and lodge it in our mainframe system
  • you receive a confirmation report that verifies we have received the correspondence
  • your postage and stationery costs are reduced.
