Tax preparer tab for tax agents owners and administrators

In this video for Tax Agents we will show you the additional features in the Tax Preparer tab for myIR Owners and Administrators.

We’re continuing to make improvements, so please note some things may change.

Audio:

When you login to myIR, you will see a new tab called ‘Business’ – this replaces the ‘GST’ tab. This is the new Business section of myIR. For an overview of this section, check out our Changes to myIR for tax agents video. One of the key changes in this new section of myIR, as you can see here, is the tax preparer tab.

Some items in this menu will be available to all agency staff, regardless of their myIR access role. View our ‘Tax Preparer tab for all Tax Agents’ video for more details of these common tasks and options. In this video, we’ll just look at the options that myIR owners and administrators will see.

Let’s look at the first item in the Agency management section, manage agency.

This is the place where you can grant and restrict access to your client’s accounts by applying security permissions at the client list level.

Note that Administrators are only able to manage list permissions if they’ve been given access to the list themselves.

Let’s look at “Agency Reports” where you can access client and agency information.

Pop-up circle highlights ‘Client list report’ pointer selects this ‘Client list report’ link. Transition to ‘Select client list report’ page. Pointer selects a client for the ‘Client list ID’ dropdown menu. Pop-up circle highlights ‘Run report’ pointer selects ‘Run report’ button.

Audio:

The client list report allows you to access client registration information.


Visual:

Window expands to reveal ‘Results preview - export to view full report’.

Audio:

You can run this report for any of the client lists you have access to. It will return an onscreen preview which you can export into excel.

This report includes all the links you have with these clients, information about their current compliance as well as basic registration information including filing frequency and GST accounting basis.

Audio:

The Agency activity report has been available for a while now, but it can now also be used for all the accounts in this new section of myIR.


Visual:

Pop-up circle highlights calendars for date range and also the tick boxes for ‘Linking/delinking, Transfer requests, Bank account changes and Accounts not in workspace’. Pop-up circle then highlights ‘Export’ button.

Audio:

In this report you can get a list, for your chosen date range, of all clients that have been linked or delinked, transfer requests, bank account changes and accounts that aren’t in anyone’s workspace. Select the date range and which activities you’d like to see. Press run report and it will preview below. You can choose to export this to excel.

Audio:

The client workspace report allows you to review who has access to a specific customer’s accounts. This includes a list of logons who have previously had the client in their workspace, even if they don’t currently have them now. You can export this information to excel.


Visual:

Transition back to ‘Tax preparer reports’ page where pointer selects ‘Web logon activity report’. Transition to Web logon activity reports’ page. Pop-up circles highlight hyperlinks.

Audio:

The web logon activity report is only available to owners. It allows you to monitor logon activity for all staff in your agency. It isn’t able to be exported as it contains hyperlinks where you can view copies of what was submitted online.


Visual:

Transition back to ‘Tax preparer reports’ page. Pop-up circle highlights ‘GST return summary reports’. Pointer selects ‘GST return summary reports’. Transition to ‘Search criteria’, user enters the IRD number into ‘Account IRD number’ field. Pop-up circles highlight calendar for selecting date range.

Audio:

Finally, with the GST return summary report you can see filed GST returns for multiple periods at once. Just enter the IRD number, and select your date range.

This isn’t a new report but it’s no longer limited to being run on clients in your workspace.

Owners and administrators can now run it for all clients your agency is linked to.

Users and Restricted users, who cannot access this reports tab, can access and run it for clients from within their clients GST account. Clients themselves can also run it from within their own account now too.

Audio:

As an owner or administrator you’ll have the ability to manage someone else’s workspace. From the tax preparer tab click on Manage workspace.

Transition to ‘Workspace’ page under ‘Manage workspace’. Pop-up circle highlights ‘Someone else’s’ check box. Pointer selects this tick box. ‘List of logons’ window expands. Pop-up highlights the search box. Pop-up circle highlights ‘download these instructions’ link.

Audio:

To manage someone else’s workspace, select the staff member’s logon from the list, or search by logon or name if needed. Have a look at the instructions, shown here, for more help and information.

Pointer selects ‘User’ check box.

Audio:

Once you’ve selected the logon you can manage their workspace in the exact same way as you would your own.

Transition back to ‘Tax Preparer’ page. Pop-up circle highlights ‘Review redirected client mail’ link.

The final item in the tax preparer menu, that only owners and administrators will see, is review re-directed client mail.

Audio:

You can use this tool to retrieve copies of all client mail that has been re-directed to your agency, not just for clients that you are managing in your workspace. You can sort, search, select and download what you need to.

Everyone can still view client mail from the Correspondence tab within the actual clients account – even if it was sent to the client and not the agency.
