Overview to the ir-File demonstration

If you are an employer, or considering becoming an employer, then ir-File is an effective means of submitting your EMS and payments through to us electronically.

An EMS is the form that you send through to us with the following information included:

  • All of your employee's full names, IRD numbers and tax codes
  • the employee's gross earnings (or withholding payments) for the month
  • the employee's deductions for this month
  • the date they started working for you
  • the date they finish working for you

This is a secure service that will allow you to submit your employee details through to us, giving you a timed and dated receipt to confirm your successful submission.

Filing methods

There are two filing methods to choose between:

  • On-screen form where customers complete their details online. This may best suit you if you operate a manual wage book.
  • File transfer where you attach a file from your own software. If you use an electronic payroll system this may suit you best. Your payroll software developer should have our ir-File specifications and will be able to help you upgrade your payroll software if necessary.

Note for on-screen filing: you will only need to fill in the details for your employee's once, you will then receive a prefilled schedule with each employees details already pre-filled. This means you will only need to complete the income earnings and deductions for the current month for each employee.

Employers with PAYE payments of $100,000 or more

If your annual PAYE payments are $100,000 or more then you will be required to file your EMS electronically.
