Tax preparer tab for all tax agents

In this video for Tax Agents we’ll show you the new Tax Preparer tab in myIR – the place where you’ll manage your workspace, request transfers, run transaction reports and bulk file GST returns.

We’re continuing to make improvements, so please note some things may change.


Visual:

Transition to myIR home page, Pop-up circle highlights ‘Business’ tab, pointer selects ‘My business’ button. Transition to a logged in version of “My business” tab. Pointer moves a selects ‘Tax Preparer’ Tab.

Audio:

When you log in to myIR, you will see a new tab called ‘Business’ – this replaces the ‘GST’ tab. This is the new Business section of myIR. Here you’ll see the tax preparer tab. For an overview of this section, check out our Changes to myIR for tax agents video.

Audio:

All tax agents will have access to this menu, but the options displayed will vary based on your myIR access role. Restricted users won’t see the Client maintenance or Financial Transfers options.

And if you’re a myIR administrator or owner you’ll see some additional options, which we’ll cover in a separate video. Let’s look at the first item, “Client Maintenance”.

Transition to ‘Manage Client Link’ tab. Pop-up circle highlights ‘Link a new client to your agency’, Pop-up circle highlights ‘Delink clients and indirect mail’. Pointer selects ‘Delink clients and indirect mail’.

This is the place where you manage client links for all tax types. We’ve incorporated all linking and delinking into our new system so you no longer need to do this in two places.

You can link to a new client, or for existing clients you can shift them between client lists, delink, or redirect their mail. Note that you’ll still be linked to your current clients so you won’t have to link again. But you will need to use the manage workspace tool to add the customers that you need into your workspace.

Transition to ‘Select Clients’ page, user enters rid number into ‘Client ID’ field, then clicks ‘Add Client’ button. Then pointer clicks ‘Next’ button.

Audio:

Let’s take a look at how to “delink a client and redirect mail”. You can do this is for multiple customers at the same time. Enter the client IRD or customer number as shown and click “Add Client” to add them to the list.

Click next to see all the accounts for your chosen customers.

By checking the boxes you can delink the client, or you can choose to just change where their mail is sent. Client accounts still in our old system are in a different table, as shown. You don’t have the option yet to change the mailing indicator in myIR for these. To confirm the changes, click next to review and submit.

Transition to “Confirmation” page, pop-up circle highlights ‘Confirmation’ page, pop-up circle highlights ‘Print confirmation’ page where mouse selects ‘Ok’ button. Transition to ‘Manage client links’ where pop-up circle highlights ‘Link a new client to your agency’. Pointer then clicks ‘Link a new client to your agency’ button.

You’ll then see this confirmation screen. If you’d like a record of what you’ve submitted, you can click the ‘Print confirmation’ button to open a PDF that can be saved or printed.

Back at the client maintenance menu we’ll now look at how to link to a new client.

Details are automatically entered into lower fields, pointer then moves to select ‘Yes’ button for authority. Pointer in ‘Next’ button.

Enter the client IRD or customer number and click “Verify” to bring up the customer’s name so you can check and confirm you’re linking the right client. Before continuing you’ll also need to confirm you have the authority to act on behalf of this client.


Visual:

Transition to ‘Create client links’. Pop-up circle highlights fields for selection. Pointer selects ‘FBT’ account tick box and then ‘mail to client’ check box. Pop-up circle highlights ‘Already linked to an agent’ column. Poster selects ‘Mail to agent’ check box in ‘Mail to agent’ column.

Here we can see all the accounts the selected customer has.

Only one tax agent can be linked to an account at a time. The account link will give you access to that specific account and mail related to that account. The ‘Already linked to an agent’ column will indicate if the client already has a tax agent linked, who will be removed as part of this process.


Visual:

Pop-up circle highlights ‘Customer master link’ check box. Pointer selects the check box for the account and then the ‘mail to agent’ check box. Pointer selects the ‘Next’ button.

Audio:

There is also a new customer master link that will give you access to mail from IR that is issued at the customer level such as statements of accounts, instalment arrangements and other letters that are issued to your client for many accounts at once.

Select which accounts you’d like to be linked to. And select where you’d like the mail to be sent to. Then you need to confirm if you have your clients’ permission to be the master agent looking after this customer. Click next when you’re done.


Visual:

Transition to ‘Client list’ tab. Pop-up circle highlights the client list. Pointer then selects the second client in the list. Pointer then selects ‘Next’ button. Transition to ‘Review’ page, pop-up circle highlights and pointer selects “Submit”.

Audio:

If your agency operates more than one client list you’ll be able asked to select which list you would like your client to be linked to. Select the list and then select next. Check the details are correct then select submit.


Visual:

Transition to ‘Confirmation’ page. Pop-up circle highlights ‘Go to workspace’. Pointer then selects ‘Go to workspace’ button.

Audio:

This customer is now linked to your agency, but if you want to access their accounts you now need to bring them into your personal workspace. Click on “go to workspace” to do that.

Your workspace should only include the customers you’re actively working on or need access to.

The next item on the menu is the all client transactions report. Use this to get transaction summaries for all clients your agency is linked to.

Transition to “Search Criteria” page where the user enters IRD number of client. Pop-up circle highlights ‘choose account’ button. Pointer goes to selects ‘choose account’ button.

Audio:

You do not need to have the client in your workspace to access their transactions on this report.

Each summary can include up to 24 months of information.

Once you’ve entered your clients IRD number, click the Choose account button for the clients linked accounts to appear.


Visual:

The pop-up window ‘Select account’ appears. Pointer selects an account form the dropdown menu, then “Ok” button.

You can view all linked accounts here, you don’t have to go back to the myIR landing page and use “Look at account information” anymore.

Pop-up window disappears, back on the ‘Search criteria’ page, where pointer selects the ‘search button’. Transition to ‘’Transaction summary report” page. Transition back to “tax preparer” tab. Pop-up circle highlights ‘Financial transfers’ link. Pointer clicks “Financial transfer” button.

The information shown in the preview can be exported to excel.

Back in the tax preparer menu you’ll see Financial Transfers.

There are now two places to complete a financial transfer, here in this new tool, and the existing tool from the main myIR home page.

Before you get started, read the ‘What to Expect’ information on this page to make sure you’re using the right tool.

Back at the tax preparer menu you’ll find the transfer credit calculator. This isn’t new, but this is where you’ll find it now.
